From field service to the books — automatically

How we built a custom bridge between a field service management platform and QuickBooks Online so invoices, purchase orders, customers, vendors, and inventory stay in sync automatically.

From field service to the books — automatically
The Challenge

Field technicians were creating invoices and purchase orders and tracking inventory in the field service management platform all day long. But that platform has no native connection to QuickBooks Online — the two systems simply don't talk to each other out of the box.

So the data lived in two places that couldn't share it. Invoices, customers, vendors, purchase orders, and inventory levels stayed in the FSM system and never made it to the books on their own. The accounting team was left working from numbers that didn't reflect what was happening in the field — or what was actually in stock.

The business was growing, and the gap between operations and the books was growing with it. They needed the two systems connected — and off-the-shelf connectors didn't cover the fields and workflows they relied on.

The Solution

We built a custom API layer between the two systems. It reads invoices, purchase orders, customers, vendors, and inventory from the FSM platform, maps every field to its QuickBooks Online equivalent, and writes them across in real time — the moment they're created or updated.

Because it runs in real time, the books reflect what's happening in the field the moment it happens — not hours later. Inventory stays in sync too, so stock levels in the FSM system always match what's recorded in the books.

Real-world example

FSM → QuickBooks Online, fully synced

We connect your field service management software to QuickBooks Online via API — so invoices, purchase orders, customers, and vendors flow automatically, with no manual entry and no drift between systems.

How It Works

Built to run reliably, not just once

A sync that works on a good day isn't enough. Here's what goes on under the hood to keep data clean over the long haul.

Real-time syncs

Data moves the moment a record is created — no waiting for end-of-day batch updates or scheduled pulls.

Field mapping & validation

Every field is mapped and validated before it lands. Tax codes, classes, and payment terms translate cleanly between systems.

Error handling & retries

Failed syncs are logged, retried, and surfaced — not silently dropped. You always know what didn't go through and why.

Idempotent by design

Run the same sync twice and you get the same result — no duplicate invoices or customers, ever.

The Outcome

The field service platform and QuickBooks Online now stay in lockstep. Invoices, purchase orders, customers, vendors, and inventory move across automatically — the books are always current with what's happening in the field and what's on the shelves.

Reconciliations are faster because the records already match. And the accounting team works from numbers that reflect today's operations, not last week's.
