From the counter and the marketplace to the books
How we connected a collectibles shop's point-of-sale system and eBay sales account to QuickBooks Online so sales, fees, and payouts flow in automatically and the books stay current.
A collectibles shop sells in two places: across the counter through their point-of-sale system, and online through eBay. Both channels can connect to QuickBooks Online — but out of the box, that connection doesn't know where things should go.
So sales were flowing in, but they weren't landing in the right accounts. Counter sales, online orders, marketplace fees, shipping costs, and payouts each needed to map to the proper accounts and fields — and the default setup wasn't doing that. The books were being fed, but not accurately.
The shop needed those connections set up and mapped properly so every sale — counter and online — landed in the right place, with fees and payouts handled, and the books reflected the day in real time.
We connected the POS system and the eBay account to QuickBooks Online and mapped every transaction type to the right accounts and fields. Counter sales, online orders, marketplace fees, and payouts each land where they belong — automatically.
The connections run throughout the day, so the books update as sales happen instead of waiting for someone to sort it out after the fact.
Built to run reliably, not just once
A sync that works on a good day isn't enough. Here's what goes on under the hood to keep data clean over the long haul.
Real-time syncs
Data moves the moment a record is created — no waiting for end-of-day batch updates or scheduled pulls.
Field mapping & validation
Every field is mapped and validated before it lands. Tax codes, classes, and payment terms translate cleanly between systems.
Error handling & retries
Failed syncs are logged, retried, and surfaced — not silently dropped. You always know what didn't go through and why.
Idempotent by design
Run the same sync twice and you get the same result — no duplicate invoices or customers, ever.
Counter sales and eBay sales now flow into QuickBooks Online automatically, with marketplace fees and payouts mapped to the right accounts. The books update throughout the day instead of after the fact.
The shop's owner finally has an accurate, current picture of revenue across both channels — without chasing numbers across platforms.
